2. Data collected
a) Contact form. Surname and first name, email address, telephone number (optional), company and role, free-text message. This data is collected with your consent, when you submit the form.
b) Member account (passwordless sign-in). To create an account and access the member area, the enriched library and the Arena training platform, we collect your email address (legal basis: performance of the service you request). Sign-in is done via a magic link sent by email; no password is stored.
c) Arena training platform. When you train, we record your gameplay data: transcripts of your simulated negotiations, scores and marks per criterion, level (Elo), session history and progress statistics. This data is used to give you back your results and your ranking.
d) Voice dictation (optional). If you use voice input, the audio file is sent to our transcription service to be converted into text, then is not kept beyond that processing.
e) Public profile (optional, opt-in). Your training profile is private by default. It appears in the public ranking and the pool that recruiters can browse only if you explicitly enable it from your dashboard. You can make it private again at any time. While it is public, your name, your institution (if provided), your level and your game history are visible.
f) Use of an artificial-intelligence sub-processor (Anthropic). The simulated opponent, the assessment of your negotiations, the debrief and the search assistant rely on an AI model provided by Anthropic PBC (United States). Accordingly, the content of your exchanges (negotiation transcript, message put to the assistant) is sent to Anthropic to be processed, as a sub-processor within the meaning of Article 28 of the GDPR. This transfer outside the European Union is governed by the European Commission's standard contractual clauses. Your data is not used to train the models. We transmit neither your name nor your email address: only the content necessary for processing is sent.
3. Purposes of processing
The data collected is used solely for the following purposes:
- Responding to your contact or appointment requests (legal basis: pre-contractual measures)
- Sending you information about our services
- Giving you access to the member area and the library (performance of the requested service)
- Running Arena training: simulating the opponent, assessing your negotiation and producing your debrief (performance of the requested service)
- Calculating your progress, your scores and your ranking (Elo)
- Displaying your profile in the public ranking and the recruiter pool, only if you have enabled it (consent, revocable at any time)
- Improving the quality of our services
It is never resold, transferred or disclosed to third parties without your prior agreement, apart from the strictly necessary sub-processors mentioned in point 2.f.
4. Retention period
Periods vary depending on the nature of the data:
- Contact requests: 3 years from the last contact, in line with the recommendations of the CNIL (French data-protection authority).
- Member account: as long as the account is active, then 12 months after the last sign-in.
- Negotiation transcripts and debriefs: 24 months, then deletion. You can request their deletion at any time.
- Scores, history and ranking (Elo): as long as the account is active. If the account is deleted, they are deleted or anonymised.
- Voice-dictation audio files: not kept beyond transcription (immediate processing).
- Technical logs: 12 months maximum.
5. Your rights
In accordance with the General Data Protection Regulation (GDPR · EU 2016/679), you have the following rights:
- Right of access: obtain a copy of your data
- Right to rectification: correct inaccurate data
- Right to erasure: request the deletion of your data
- Right to object: object to a processing operation
- Right to restriction: request the temporary freezing of a processing operation
- Right to portability: receive your data in a structured format
- AI assessment: your scores are produced by automated processing. You can request a human review of any mark and contest it.

NEGOCOACH implements appropriate technical and organisational measures to protect your data against any unauthorised access, loss, destruction or alteration.
